What personal data we collect and why we collect it
In some circumstances, the Toodyay Naturalists’ Club Inc. are required to hold certain information, such as your name, address, telephone numbers and payment details for services such as Membership and the purchasing of goods.
Media
If you upload images to the website using our sightings form, you should avoid uploading images with embedded location data (EXIF GPS). Visitors to the website can download and extract any location data from images on the website.
By uploading the images, you give us permission to use and share for record and research purposes.
Contact form
When you submit a contact form, we collect your name, email and phone number. We keep contact form submissions for 30 days for customer service purposes only and do not use the information for marketing purposes.
Sightings form
When you submit a sighting, we collect your name and email address to help us verify your sighting and as a way to get more details from you if required. We keep your contact details on record indefinitely.
Membership form
When you submit the membership application form, we collect your name, email, phone number and address. We keep membership information for as long as the membership period lasts and for membership purposes only (for example, emailing information on upcoming events or newsletters) and do not use the information for marketing purposes.
Donation form
When you submit the donation form, we collect your name, email, phone number and address. We keep donation form submissions for 30 days for customer service purposes only and do not use the information for marketing purposes.
Purchase formS
When you make an order to purchase books etc, we collect your name, email and phone number. We keep these form submissions 30 days for customer service purposes only and do not use the information for marketing purposes.
Cookies
We, and the various integrations we use on the website, use cookies. These technologies are used to identify you while you are using our website, analyse trends, administer the site and gather demographic information about our user base as a whole.
Cookies do not collect data such as your name, email address or contact details.

Analytics and other Google Services
We use Google Analytics to collect statistics on visitor traffic to our website such as length of visit and pages viewed. The information is anonymous and does not identify specific visitors. Use of Personal Information
There are reasons why we require to keep such information.
- In order for us to comply with Clause 7 of the rules (Constitution) of the Toodyay Naturalists Club Inc. (the Association), and to comply with the Associations Incorporation Act (1987), we are required to maintain an up-to-date register of the Members of the Association and their postal or residential addresses;
- To enable us to deliver goods (such as publications) purchased by you or on your behalf; and
- To help verify sightings records
Protection of Personal Information
We store our information by both hardcopy and electronic means. That information is kept confidential and secure, and is only accessed by those within the Association that have a legitimate right to view or use that information.
Disclosure of Personal Information
Under no circumstances, unless required to do so by Australian law, will this information be disclosed to another party unless expressly requested to do so by you.
Access to Personal Information
Under Clause 28.2 of the rules (Constitution) of the Toodyay Naturalists’ Club Inc. (the Association), and to comply with the Associations Incorporation Act (1987), the Management Committee of the Association shall make available, on request of a financial member of the Association, the Register of Members of the Association for the inspection of the member and the member may make a copy or take an extract from the abovementioned records but shall have no right to remove the record for that purpose.
The Management Committee will minute such request in the Minute Book of the Association.
As a visitor to the website who has submitted personal data to us, you have the right at any time to request that personal data is deleted and we will do so within 30 days of your request providing there is no compelling reason for its continued processing (for example, for legal or tax reasons).
